Position: Resource Co-Ordinator (FT or PT hours considered)

Salary: Up to £25k (Dependant on experience)

About the Role

The Resource Coordinator is an assertive, well-organised and agile individual, responsible for managing the resource for our bustling and dynamic Projects and Service Delivery team.  The Resource Coordinator supports our technical teams by making sure that schedules are intelligently planned and that the right skills are being resourced for specific projects and assignments. Supporting our Senior Leadership and management team with administrative and facilities/office support, including event, diary management and office management (front of house duties) also forms a key part of the role.  Strong leadership and management as well as communication skills are vital for this role, as is a forward thinking and commercial mind-set. 

A large part of the role is to work with our Projects and Service Delivery team to produce workforce planning reports, and schedule/manage resource proactively to make sure our customers and our technicians are supported, enabling us to deliver work on time.

The Resource Coordinator is also responsible for delivering quality initiatives within the Projects and Service Delivery team.  The Resource Coordinator role is essential to ensure our valuable pool of talented individuals is used in the most efficient way and that projects are delivered on time, to quality and within budget to our customers. The Resource Co-ordinator will also be responsible for co-ordinating the delivery of smaller scale projects (Level 1).

Main Duties and Responsibilities

  • To manage resource requirements in the most cost-efficient way within the proactive services team & for the service technicians where required on a daily basis.   Ensure that resource allocation supports the target that each full-time member of professional services delivers at least 180 days of chargeable time per year.

  • To forward plan resources and be proactive in highlighting any conflicts or problems with proposed solutions to the COO and direct line manager.  Maintaining a 30, 60 and 90+ day resource profile, making recommendations on how to resolve resource conflicts and shortages of resources to influence future recruitment and training.

  • Liaise with the Technical Manager to ensure absence and holiday leave requests are managed effectively.

  • Work closely with the Programme and Project Managers as well as Account Managers to ensure that staff delivering work to customers are adequately prepared to do the job right first time within the commercial constraints of opportunity. 

  • Work closely with Programme and Project Managers as well as Account Managers to ensure customers are kept up to date on any engineering issues that may occur as a result of booked in work.

  • Establish and maintain effective working relationships with co-workers, supervisors and the clients.

  • Office Management (front of house) and PA responsibilities- Supporting our senior Leadership and management team with administrative and facilities/office support, including event, diary management, greeting visitors and office management

  • Pursue personal development of skills and knowledge necessary for the effective performance of the role.

About You

Qualifications, experience & knowledge


  • Previously worked in a project coordination, project planning or resource scheduling role within a dynamic commercial environment (preferably from a services and/or IT industry)

  • Experience of managing stakeholder expectations (internal/external); people focused but strive for results


  • Educated to degree level

  • Experience in managing technical IT resources

Skills (including technical)


  • Strong organisational, analytical and planning skills

  • Sound commercial understanding of the importance of the role

  • Ability to deal with and make decisions under pressure

  • Excellent prioritisation skills balanced with the ability to know when to escalate

  • Manage both tactical situations and have input into resource strategy

  • Passion for process but able to build strong relationships

  • Strong negotiation and influencing skills

  • Effective communication, commercial and leadership skill set

  • Ability to balance contending business needs
